Sorry If I do not use the correct language here. I am self taught crystal/DB user.

How do I get an if formula field to look at ALL sub table records.

I have a table that holds personal information about clients. under that table I have a subtable that hold information about achievements this client has made.

There are 3 fields i am interested in on the achievements table. Date, achievement category and reference number.



I am trying to write "if" formula that will display the reference number if the date and category meet my criteria. else "no record"

The formula works but does not look at all the sub records. If there is more then 1 sub record(even if one record does meet the criteria) then it will display "no record"

Sorry if this is a stupid question, I cant find the answer anywhere.

well, a couple of options come to mind.
1)placement of the formula, if you place it a group header or footer, it will only look at the first or last record, so usually this would be placed in a details section.
2) the formula is not working as expected.  I usually will break down a formula to make sure that it is 'seeing' and reacting the way I expect it to.  For example: if a formula has an if statement, I will start with just the first if, and let the formula print true or false, just so I can see if it is working, I would also include on the same line of the report, the field(s) the if statement is checking so that I can see that all lines up as I think it should.
